Client Responsibilities

Monthly Documents We May Request

To keep everything running smoothly, we ask clients to:

  • Submit requested documents on time.
  • Keep business and personal expenses separate.
  • Notify us of major business changes.
  • Respond to bookkeeping questions promptly.
  • Maintain sufficient funds for payroll/tax obligations

Important Notes

Tax Filing

    We do not file income taxes. We coordinate with your CPA or tax preparer as needed.

Financial Review   

Please review all reports carefully upon receipt. We will schedule a time to review them together, discuss your financial results, answer any questions, and help you better understand what the numbers are telling you about your business.

Security   

Protecting your financial information is extremely important to us. We use secure systems for document sharing and communication whenever possible.

Important Deadlines

Onboarding Process & Expectations

Step 1: Initial Consultation

To ensure a smooth and efficient onboarding experience, there are several important steps and deadlines throughout the process.

We begin with a consultation to discuss your business, current bookkeeping processes, pain points, and financial goals. This helps us determine whether our services are the right fit for your needs.

Step 2: Preliminary Records Review

Before a service proposal is finalized, we may request limited access to your financial records, including your accounting software, such as QuickBooks, along with select financial documents.

This preliminary review allows us to assess the current condition of your books, identify any cleanup or catch-up work, and better understand the scope and complexity of your bookkeeping needs.

During this review, we may evaluate:

  • Reconciliation status

  • Chart of accounts organization

  • Historical accuracy

  • Missing or uncategorized transactions

  • Outstanding cleanup or catch-up work

This step helps ensure pricing and service recommendations accurately reflect the work required.

Step 3: Proposal & Service Selection

Following our review, we will provide a customized proposal based on your business needs and the current condition of your books.

If cleanup or catch-up work is required before recurring bookkeeping can begin, this will be clearly outlined as a separate service with its own scope, pricing, and timeline.

Once the proposal is accepted, onboarding officially begins.

Step 4: Engagement Documents

You will receive your engagement documents for review and signature, including your service agreement and ACH authorization form. These documents must be completed before services can begin.
